1. General Return Window

We offer a 7-day return request window for eligible U.S. orders. The 7-day period begins on the date the carrier marks the package as delivered. A return request does not guarantee approval — items must meet the eligibility requirements below.

2. Return Eligibility

May be eligible

  • Sealed retail bottles — unopened, untampered, with all original packaging, seals, batch code, and cellophane intact
  • Wrong item shipped (we cover return shipping)
  • Item arrived damaged due to verified shipping issue
  • Item materially misdescribed in the listing

Final sale — not eligible

  • Open-box or unsealed fragrances (unless company error)
  • Partial or used bottles
  • Decants, samples, atomizers, refillable bottles, fragrance oils
  • Vintage or discontinued fragrances
  • Tester bottles and no-box / missing-cap items
  • Sourced, special-order, or batch-specific items
  • International orders once shipped
  • Items marked "Final Sale"

3. Non-Returnable Reasons

Returns are generally not accepted for:

  • Scent preference or dislike
  • Subjective longevity, projection, sillage, or performance concerns
  • Skin chemistry differences
  • Buyer's remorse or accidental purchase after shipment
  • Failure to read product condition, size, concentration, fill level, or final sale status
  • Manufacturer reformulation, batch variation, or packaging redesigns (unless a specific batch was expressly guaranteed)
  • Minor box wear, scratches, dents, sticker residue, or cosmetic imperfections typical of resale goods
  • Items altered, sprayed, decanted, refilled, diluted, opened, emptied, damaged, or tampered with after delivery

4. How to Request a Return

Email within 7 days

Contact customercare@kaizen-fragrance.com with your order number, full name, item name, reason for return, and clear photos of the product, packaging, shipping box, label, batch code, seals, and any issue claimed.

Await authorization

Do not ship anything back until you receive written return instructions. Items sent without authorization may be refused, returned to sender, delayed, or ineligible for refund.

Ship using provided instructions

Fragrance products may contain alcohol or restricted materials. You must follow our return shipping instructions. Do not ship by an unlawful or prohibited method.

Inspection & refund

We inspect every return for seal condition, fill level, batch code, and signs of tampering. Approved refunds are processed within 5–7 business days.

5. Return Shipping

Customers are responsible for return shipping costs unless the return is due to verified Kaizen Fragrance error (such as wrong item shipped or an approved defective/damaged claim). Depending on the situation, we may require you to purchase your own trackable return shipping, provide a prepaid return label and deduct the cost from your refund, or provide a prepaid label at our cost for verified company error.

We are not responsible for unauthorized returns, lost return packages, returns shipped to the wrong address, or returns shipped in violation of carrier rules.

6. Inspection Process

All returns are subject to inspection after receipt. We may inspect seal condition, bottle condition, fill level, batch code, cap/sprayer/label/packaging, weight, signs of spraying, decanting, dilution, refilling, leakage, damage, or tampering, and whether the returned item matches the item originally shipped. If the item fails inspection, we may deny the refund, issue partial store credit, deduct fees, or return the item to you at your expense.

7. Refund Timing & Method

Approved refunds are typically processed within 5–7 business days after inspection is complete. Refunds are issued to the original payment method unless we approve store credit or another method. Your bank or card issuer may take additional time to post the refund. Original shipping charges are non-refundable unless the return is due to verified Kaizen Fragrance error or applicable law requires otherwise. Taxes on qualifying refunded items will be refunded where required by law and supported by our payment processor.

8. Restocking Fees

Approved returns may be subject to a restocking fee.

Restocking fees help cover payment processing, inspection, handling, inventory adjustment, shipping materials, and resale loss.

9. Damaged, Defective, or Incorrect Items

If your item arrives damaged, defective, leaking, or incorrect, contact us within 3 days of delivery confirmation with your order number, photos of the shipping box exterior, inside packaging, product and damage, shipping label, a description of the issue, and any carrier notice or delivery irregularity.

Do not discard packaging or product until the claim is resolved. If the issue is verified as Kaizen Fragrance error, we may offer replacement, refund, store credit, return label, or another remedy required by law.

10. Lost, Stolen, or Delivered-But-Not-Received

Lost, stolen, and delivered-but-not-received packages are handled under our Shipping & Insurance Policy. For packages marked delivered but not received, we may require confirmation of shipping address, contact with the carrier, a waiting period for investigation, photos or property evidence, a police report for suspected theft, a signed statement or claim affidavit, and cooperation with shipping-protection or insurance review. Approved claims may result in replacement or store credit rather than monetary refund.

11. Authenticity Concerns

Contact us promptly

Email customercare@kaizen-fragrance.com with your order number, clear photos of the bottle, label, bottom, sprayer, cap, box, batch code, cellophane, and packaging, plus a detailed explanation and any comparison photos.

Preserve the item

Do not alter, decant, refill, continue using, dispose of, or ship the product to a third party while the claim is pending.

Return for inspection

We may require return of the item for inspection. If the item has been materially altered, refilled, emptied, decanted, damaged, or tampered with, the claim may be denied.

Resolution

If we determine the product was materially misrepresented or cannot be reasonably verified, we may offer a refund, replacement, store credit, or another remedy required by law.

12. Cancellations

Orders not yet shipped may be canceled at our discretion if the request is received before fulfillment begins. Canceled orders may be subject to a 3% cancellation fee to cover payment processing, unless the cancellation is due to Kaizen Fragrance error or applicable law requires otherwise.

Preorders and sourced items may be subject to a 5% cancellation fee if cancellation is approved before shipment or sourcing completion. If fulfillment is excessively delayed or impossible, we will provide a legally appropriate option (continued waiting, substitution, refund, or store credit).

Orders already in transit cannot be canceled. You may request a return if the item is eligible under this Refund Policy.

13. Store Credit

We may offer store credit instead of a refund in certain cases. Store credit is issued to your Kaizen Fragrance account or by code, has no cash value, and cannot be transferred or redeemed for cash unless required by law. Store credit may be denied, suspended, or reversed in cases of fraud, chargebacks, abuse, or policy violations.

14. Exchanges

We do not offer exchanges. If you want a different item, you may place a new order. Eligible items may be returned under this policy if approved.

15. International Orders

International orders are final once shipped. We do not accept international returns unless required by law or expressly approved in writing. Customers are responsible for customs fees, duties, taxes, brokerage fees, import restrictions, return shipping costs, seizures, carrier delays, and compliance with local laws. Some fragrance products cannot be shipped internationally due to hazmat, alcohol, carrier, customs, or destination-country restrictions.

16. Refused, Undeliverable, or Unclaimed Packages

If a package is refused, unclaimed, returned to sender, or undeliverable due to customer error, the customer is responsible for original shipping cost, return shipping cost, reshipping cost, any duties/taxes/brokerage/carrier charges, and any applicable cancellation or restocking fees. Refunds for returned packages will be processed only after the item is received and inspected. Original shipping charges are non-refundable unless required by law or caused by verified Kaizen Fragrance error.

17. Abuse, Fraud & Policy Violations

We may deny returns, refunds, store credit, cancellations, claims, or future purchases if we suspect return fraud, chargeback abuse, wardrobing, decanting/refilling/dilution/tampering, false damage or authenticity claims, item substitution, shipping fraud, excessive or suspicious return activity, or violation of our Terms of Service.
